How to set your delivery quote times to 40 minutes for Direct Orders

Quote Time Overview 

When we say quote times on direct orders, we’re talking about the amount of time a delivery customer is quoted when they start their order on zeekspizza.com or the Zeeks App. See below for what it looks like to customers. 


 
 
40 minutes is the Zeeks standard for quote times
Zeeks' history of delivering pizza over the last 30 years has proven that when your quote times are above 40 minutes, you’re losing orders, because customers want their pizza faster.  So, you want to keep your quotes at or below 40 minutes.
 
A quote time can be thought of as the sum of your Out The Door (OTD) time and your Drive Time. In other words:  
  1. Quote time = OTD + Drive Time 
 
OTD represents the duration of time from when a delivery order gets placed until the time it takes to leave the store. 20 minutes is the standard OTD at Zeeks.  

Drive Time represents the time it takes from when a delivery driver leaves the store to when the customer has the order in their hands. 20 minutes is the standard Drive Time at Zeeks. 

So, to achieve a 40 minute Quote Time, the Zeeks standard is 
  1. 20 min OTD + 20 min Drive Time = 40 min Quote Time

 

How to set your OTD to 20 minutes:  

OTDs are set in Incentivio. Incentivio uses a different term for OTD. They call it Delivery Order Processing Time.
 
You can adjust OTDs (Delivery Order Processing Time) either on your in-store tablet in the Incentivio App (most common), or in the Incentivio backend. 

Below is how to set your OTD to 20 minutes on the Incentivio App on your in-store tablet.
  1. Login to the App 
  2. Click on Delivery in the upper right 
  3. Click 20

Here are the steps to set your OTD (Delivery Order Processing Time) 20 in the Incentivio backend.
  1. Login to the Incentivio backend 
  2. Click on Store Ordering Setup 
  3. Click on your store 
  4. Scroll down to the Delivery section 
  5. In the Delivery Order Processing Time field, enter 20 
  6. Click Save

How to set your Drive Time to 20 minutes - Hybrid Driver Roster


When you have a Hybrid Driver Roster (e.g. some of your Direct Delivery orders are fulfilled by in house Zeeks Drivers and some by Third Party drivers), you set your Drive Time in Shipday.
 
If you're doing hybrid delivery, you will be making an active in-the-moment dispatch decision every time a direct delivery order comes through. When you receive a delivery order you will dispatch to either an in-house driver or a third party driver. There are specific settings required in Shipday to enable this functionality. To enable this in Shipday, follow the steps below.
  1. Login to either the shipday backend or the Shipday Dispatch App 
  2. Click the green bubble in the upper right corner 
  3. Click Settings  
  4. Click Third-Party Delivery 
  5. Click Auto-assign settings
  6. Make sure Auto-assign orders is toggled OFF
  7. Click SAVE

Setting Drive Time
Once you have ensured that you are set up to manually dispatch each order, you adjust the drive time in the Shipday.
  1. Login to either the shipday backend or the Shipday Dispatch App 
  2. Click the green bubble in the upper right corner 
  3. Click Settings 
  4. Click Business Settings  
  5. Scroll down to Expected Service Time and click the pencil icon 
  6. In the Expected Service Time field enter 40 minutes. The reason you’re entering 40 minutes is because Shipday needs to approximate the roundtrip duration specifically for the driver. The end result is that the drive time from the store to the customer is half of what you entered, in this case 20 minutes. In other words, Drive Time equals half of what Shipday refers to as Expected Service Time.
  7. Click SAVE

How to set your Drive Time to 20 minutes - Using exclusively in-house drivers

When you are using exclusively In-house Zeeks Drivers, setting your drive time is done in Shipday.
 
Settings for Exclusively In-house Delivery
If you're doing exclusively in-house delivery, 100% of deliveries are made by a Zeeks driver. When you receive an order, you will actively dispatch each order to a Zeeks driver. There are specific settings required in Shipday to enable this functionality. To make this adjustment in Shipday, follow the steps below.
  1. Login to either the shipday backend or the Shipday Dispatch App 
  2. Click the green bubble in the upper right corner 
  3. Click Settings  
  4. Click Third-Party Delivery 
  5. Click Auto-assign settings
  6. Make sure Auto-assign orders is toggled OFF
  7. Click SAVE

How to Set your Drive Time to 20 minutes - Using Exclusively 3rd Party Drivers to fulfill Direct Orders.



When using exclusively 3rd Party drivers to fulfill direct orders, setting your Drive Time is done in Shipday. 
 
Settings for using exclusively 3rd party drivers
If you're exclusively using 3rd party drivers, that means your goal is to have 100% of Direct Delivery Orders delivered by a 3rd party driver. When you receive an order it will automatically be dispatched to a 3rd party driver. There are specific settings required in Shipday to enable this functionality. To make this adjustment in Shipday, follow the steps below.
  1. Login to either the shipday backend or the Shipday Dispatch App 
  2. Click the green bubble in the upper right corner 
  3. Click Settings  
  4. Click Third-Party Delivery 
  5. Click Auto-assign settings
  6. Make sure Auto-assign orders is toggled ON.
  7. In the Assigment Mode section, make sure Third-party only is toggled on
  8. Click SAVE

Setting Drive Time
If you are using exclusively 3rd party drivers, you are NOT able to control the drive time. To get a projected drive time, Shipday is pulling information from the 3rd party delivery service and using an estimate based on driving distance and driver availability. 

So, if you are using exclusively 3rd party drivers to fullfill 3rd party orders
  1. Quote time = OTD + Projected 3rd Party Drive Time
